What you’ll be doing...

The Executive Assistant provides administrative support for Global Sourcing & Supply Chain in our Ireland office(s). Performs a variety of clerical duties including scheduling meetings on behalf of senior leadership, preparing correspondence using various software platforms, fulfilling purchase requests, and assisting with the logistical needs of the department. Ensures that all is running efficiently in the office. Answers calls, greets guests, plans travel, schedules appointments, and takes care of the day-to-day. Pulls together reports and presentations, or plans an event or an office move.  Partners with support staff & leadership teams across the Global Sourcing, Supply Chain & Sustainability teams, as well as cross-functional business partners.

You will represent Verizon both internally and externally through interactions with employees, partners, and customers. Use your business knowledge and professionalism to support your team by coordinating and ensuring office efficiency for Global Sourcing, Supply Chain & Sustainability.

Responsibilities Include: 

  • Managing and maintaining multiple executive’s calendar(s) with constantly changing priorities, while maintaining sensitivity, including scheduling meetings and appointments without clearance on occasion.

  • Performing routine administrative functions such as responding to inquiries with standard letters or arranging meetings and conferences, screening telephone calls and visitors, ascertaining proper handling of inquiries. Bringing urgent issues for action to executive’s and/or supervisor’s attention.

  • Preparing presentations, agendas, reports, special projects, and other documents.

  • Planning and organizing meetings and events that include internal and external partners.

  • Organizing and coordinating the operation of an office overseeing and managing the provisioning of supplies, equipment and services that enable the staff to perform their jobs effectively.

  • Possessing a high level of organization, planning, follow through, and is able to be sure things get done on time.

  • Coordinating with other Executive Assistants to resolve executive scheduling conflicts and ensure constant coverage.

  • Planning events, travel and logistics coordination for business unit and team meetings and other events, this includes processing departmental expenses and limited budget oversight.

  • Acting as the point of contact among executives, employees, clients and other external partners.

  • Assisting with employee onboarding and offboarding, equipment ordering, upgrades, returns, office supply inventory, etc.

  • Providing onsite support for company events and meetings.

  • Managing sensitive matters with a high level of confidentiality and discretion.

  • Finding new ways to increase office efficiency and innovative ways to support the team's other duties as assigned.

  • Gaining thorough knowledge of the GSSCS team’s span of control, as well as, company policies and procedures.

You’ll need to have:

  • Bachelor’s degree or relevant work experience.

  • Experience supporting senior leaders.

  • Administrative experience.

  • Strong proficiency with Google Workspace (Gmail, Sheets, Docs, Slides)

Even better if you have one or more of the following:

  • A degree.

  • Excellent verbal and written communications skills.

  • Excellent time management skills with a proven ability to meet deadlines.

  • Juggled multiple high priority projects.

  • Supported a team for their administrative needs.

  • Prior experience supporting multiple executives.

  • Ability to work well independently and under pressure.

  • Great Google Workspace skills

  • Demonstrated ability to stay organized and meet deadlines.
