What you’ll be doing...
We are seeking an enthusiastic Specialist - Operations Support for Business Operations to manage our internal communications. Business Operations Specialist. The Business Operations Specialist is a key member of the team, responsible for ensuring the smooth and efficient day-to-day operations of the business unit. This role requires a highly organized, proactive, and detail-oriented individual with excellent communication and interpersonal skills. The ideal candidate will be a self-starter who can manage multiple priorities simultaneously and adapt to changing business needs.
Responsibilities:
Create, maintain, and update distribution lists and email aliases for various teams and projects.
Ensure all lists are accurate and current, regularly auditing for leavers and new joiners.
Manage access permissions and troubleshoot any issues related to email distribution.
Plan, organize, and execute a wide range of team events, including ATC, Staff meetings, team-building activities, holiday parties, and other social gatherings.
Manage all aspects of event logistics, including venue selection, vendor management, catering, invitations, and on-site coordination.
Track event budgets and ensure all events are executed within financial guidelines.
Serve as the primary point of contact for all leadership visits to the business unit.
Coordinate meeting schedules, travel arrangements, and on-site logistics for visiting executives.
Prepare and organize all necessary materials, presentations, and meeting rooms.
Ensure a seamless and professional experience for all visiting leaders.
Act as the liaison between the team and the corporate real estate and facilities departments.
Manage the team's real estate needs, including office space planning, desk assignments, and moves.
Coordinate with facilities for maintenance requests, new equipment installations, and other office-related needs.
Ensure the team's physical workspace is functional, comfortable, and conducive to productivity.
Manage and track team budgets, expenses, and procurement processes.
Assist with onboarding new team members, including IT setup and team introductions.
Provide general administrative support to the leadership team as needed.
Identify and implement process improvements to increase operational efficiency.
You’ll need to have:
Bachelor's degree in Business Administration, Operations Management, or a related field.
Proven experience in a business operations, administrative, or project coordination role.
Exceptional organizational skills and attention to detail.
Strong communication and interpersonal skills, with the ability to build relationships at all levels.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other business software.
Ability to work independently and manage multiple priorities in a fast-paced environment.
Proactive and resourceful problem-solver with a positive, can-do attitude.
Experience with event planning and management is a plus.
